Privacy Policy

How ImpactMatrix Foundation collects, uses, and protects the information you share with us when you donate, engage, or use our platforms.

ImpactMatrix Foundation (“the Foundation,” “we,” “us,” or “our”) is a 501(c)(3) (Applied For) headquartered in Washington, D.C. and Madison, WI. This Privacy Policy explains what information we collect, how we use it, when and with whom we share it, and the choices you have about your information. This policy applies to impactmatrixfoundation.org, impactmatrix.com, and any related forms, donation pages, and email communications operated by the Foundation.

By using our websites, donating, joining the founding network, or otherwise engaging with us, you agree to the terms of this Privacy Policy.

1. Information we collect

1.1 Information you provide directly

  • Donation information — name, billing address, email, phone number, and payment information you enter when making a donation. Payment card details are processed by our PCI-compliant payment processor and are not stored on Foundation servers.
  • Inquiry and application data — information you submit through Founding Network applications, Pilot Partner inquiries, donor or foundation outreach forms, and email correspondence.
  • Subscription data — your email address and preferences when you subscribe to updates or newsletters.
  • Organizational data— for nonprofit applicants, the organization’s name, EIN, state of registration, mission, and the contact details of authorized representatives.

1.2 Information collected automatically

  • Usage and device data — pages visited, referring URLs, browser type, device type, operating system, IP address, and approximate location derived from IP.
  • Cookies and similar technologies — to remember preferences, measure traffic, and improve performance.

1.3 Information from third parties

  • Information from payment processors confirming the success or failure of a transaction.
  • Public information about partner nonprofits (IRS exempt-status records, state charitable filings).
  • Analytics and email-deliverability data from service providers.

2. How we use information

We use the information we collect to:

  • Process donations, issue tax-deduction acknowledgments, and maintain donor records as required by U.S. law.
  • Review and respond to Founding Network applications, Pilot Partner inquiries, and donor outreach.
  • Deliver platform access, training, and 90-day technical assistance to qualifying nonprofits.
  • Communicate with you about your donation, application, or relationship with the Foundation.
  • Send periodic updates about the Foundation’s programs (only with your consent, and you may unsubscribe at any time).
  • Maintain the security, integrity, and performance of our websites and platforms.
  • Comply with legal, regulatory, audit, and accounting obligations — including reporting required of 501(c)(3) organizations.

3. We do not sell your personal information

The Foundation does not sell, rent, or trade donor information. We do not exchange donor lists with other organizations and we do not share your personal data with third parties for their marketing purposes.

4. When we share information

We share information only in the limited circumstances below:

  • Service providers — payment processors, email delivery services, hosting providers, analytics providers, and CRM platforms that act on our behalf under contractual confidentiality obligations.
  • Legal and safety — when required by law, subpoena, court order, or to protect the rights, property, or safety of the Foundation, our partners, or the public.
  • Mergers or restructuring — in the event of any merger, acquisition, dissolution, or asset transfer affecting the Foundation, donor and applicant information may be transferred subject to this Privacy Policy.
  • With your consent — when you have explicitly agreed to a disclosure (for example, public recognition of named gifts).

5. Donor recognition and anonymity

Donors may request that their gift remain anonymous in public-facing donor recognition materials. We honor anonymity requests for any public listing, while continuing to maintain accurate internal donor records as required for tax and audit purposes.

6. Cookies and tracking

We use cookies and similar technologies to make the websites function, to remember preferences, and to measure aggregate traffic. You can control cookies through your browser settings. Blocking some cookies may affect site functionality, including donation processing.

7. Data security

We use reasonable administrative, technical, and physical safeguards to protect the information we collect, including encryption in transit (TLS), restricted internal access, and reputable payment processors. No system is perfectly secure, however, and we cannot guarantee absolute security of information transmitted over the internet.

8. Data retention

We retain personal information for as long as needed to fulfill the purposes described in this Policy, to meet legal and tax obligations applicable to U.S. nonprofits, and to resolve disputes. Donor records are typically retained for at least seven (7) years to satisfy IRS and audit requirements.

9. Your rights and choices

  • Access & correction — you may request a copy of the personal information we hold about you, and ask us to correct inaccurate or outdated information.
  • Deletion — you may request deletion of your personal information, subject to legal and tax-retention requirements (we may not be able to delete donation records required for IRS reporting).
  • Unsubscribe — every email we send includes an unsubscribe link.
  • Do not call / Do not mail — you may request that we stop contacting you by phone or postal mail.

10. Children’s privacy

Our websites and programs are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us and we will delete it.

11. International users

The Foundation is based in the United States. If you access our sites from outside the U.S., you understand that your information will be transferred to and processed in the United States under U.S. law.

12. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page indicates when the policy was last revised. Material changes will be communicated through our website and, where appropriate, by email.
